Located in Leesburg, Virginia, Morven Park is owned and operated by The Westmoreland Davis Memorial

Foundation, a non-profit organization, with most of the property under a permanent conservation easement. The

expansive grounds feature meadows, trails, and gardens that consistently generate compliments from our visitors.

 

Our Buildings & Grounds Team is foundational to our success, so we invite you to bring your groundskeeping

talents and then expand your knowledge and skills as you work alongside our horticulturist to keep our green spaces healthy and beautiful. Occasional weekend and after-hours event preparation and support is eligible for overtime compensation.

SPECIAL EVENTS COORDINATOR

Status: Regular full-time, exempt

Starting Salary range: $45,000 - $50,000 

Reports to: Director of Engagement and Fundraising

Position Summary

Morven Park, Loudoun County’s 1,000-acre backyard, is where our visitors know they can find their “happy place.”Our magnificent historic estate offers guided tours, educational programs, and picturesque grounds.

As a member of the Development team, the Special Events Coordinator will collaborate with the team to ensure Morven Park’s fundraising events successfully engage and cultivate donors, members, volunteers, registered guests and the public. This role is in charge of managing event logistics, coordinating vendors and volunteers, and ensuring a polished experience for participants. The Special Events Coordinator also will lead Morven Park’s rental program by managing the Park as a venue for functions.

The ideal candidate will have a background in non-profit and/or corporate event management and will be confident and ready to promote the Park’s mission to prospective clients. The work will be in-person and the schedule will include some Saturdays and holidays as required.

Responsibilities Include:

 

  • Act as the event supervisor during each rental or Park event, instructing Park staff, vendors, and the client from set-up to clean-up as appropriate.

  • Provide logistical coordination of vendors during planning and execution of special events and Morven Park fundraisers.

  • Develop detailed event plans, timelines, and task lists from concept, day-of coordination, and through post-event wrap up.

  • Keep volunteer records up to date and work with the Park’s volunteer corps to ensure coverage at special events.

  • Introduce prospective rental clients to Morven Park’s facilities and grounds.

  • Build positive customer relationships and negotiate/execute contracts with rental clients.

  • Enter all interactions, contracts, payments, and notes related to rental clients, prospects, and vendors into the Salesforce database in a timely manner.

  • Keep the Morven Park rental calendar up to date.

  • Meet or exceed annual revenue budget goals.

Our ideal candidate will have:

 

  • A bachelor's degree and demonstrated event coordination experience.

  • Proven ability to manage simultaneous events, with varying levels of complexity, on time and within budgets. 

  • Focused attention to detail, a talent for organizing/prioritizing tasks, and disciplined follow-through practices.

  • Experience providing exemplary customer service with a high level of professionalism.

  • A positive approach to problem solving, new tasks, and collaborative projects.

  •  An eagerness to enthusiastically promote Morven Park’s mission, offerings, and opportunities. 

  • Interpersonal, verbal, and written communications skills that convey competence and diplomacy.

  • The ability to work independently with limited supervision and collaboratively with other team members. 

  • Experience with Microsoft Office/365 and Salesforce.

  • Show a willingness to work a flexible schedule, including occasional weekends/holidays and longer special event days.

  • The ability to perform the physical requirements of this role, including standing for extended periods of time, walking long distances, climbing up/down stairs, and lifting/moving up to 35 pounds.

  • Be able to successfully pass a background check (required of all Park employees) and provide work references.
